Best AI Receptionist for Small Business in 2026: 6 Options Compared, Plus the Build You Own
Six AI receptionist options for small businesses compared on price per call, which number answers, Jobber booking, and year-one cost. Includes a build you own.
The best AI receptionist for a small business depends on two things: how many calls you miss a month, and whether the receptionist needs to book into the software you already run. Under 50 missed calls a month, a $25 to $80 subscription is the right answer. Over that, or if the receptionist has to create jobs in Jobber or Housecall Pro, the math changes. This post compares six options: Quo’s Sona, Jobber Receptionist, Goodcall, Rosie, Upfirst, and the build we offer at Alpenglow AI. Prices were checked on each vendor’s pricing page in October 2026.
What an AI receptionist for a small business should do
Not every “AI receptionist” does the same job. Before comparing prices, check that the one you are considering can do all five of these.
- Answer on the number customers already call. Most work by forwarding your existing line, which is fine. Some give you a new number and expect you to publish it, which is not.
- Tell an emergency from a quote request. A burst pipe at 11 p.m. gets put through to the on-call tech. A “how much for a water heater” gets booked for the morning. If the receptionist treats both the same, it is a voicemail with a voice.
- Book the appointment, not just take a message. That means writing into your calendar or field-service software, with the address and the problem, so nobody retypes it.
- Text the caller a confirmation. The booking is not real to the customer until it is in their phone.
- Hand off to a human on request. “Can I talk to someone” has to work, during hours to a person and after hours to a text alert.
One thing it should not do: pretend to be a person. Callers forgive an AI that says it is one and gets them booked. They do not forgive a fake “Mike” that cannot answer a simple question.

Prices checked October 2026: Goodcall, Rosie, Upfirst, Jobber. Quo’s Sona price is from third-party listings because Quo’s own page for it did not load at the time of writing; treat it as approximate. RingCentral and Nextiva also sell AI receptionists and are not in the table because neither publishes a price without a sales call.
Quo Sona: if you already run Quo, start here
Quo is the business phone platform we build missed-call text-back on, and Sona is its AI agent. It answers when nobody on the team picks up, takes a detailed message, and drops the transcript into the same inbox as your texts. At roughly $49 a month for 50 calls it is the cheapest way to stop losing after-hours callers to voicemail if you are already paying for Quo.
The limit is what it does after the call. Sona takes messages well; it does not natively create a job in Jobber or Housecall Pro. If booking is the point, you add a workflow for that, or pick a tool that does it out of the box.
Jobber Receptionist: built in, for $29, if you run Jobber
If your business already lives in Jobber, this is the shortest path. Receptionist answers calls and texts around the clock, books visits using your existing online booking rules, turns calls into work requests with enough detail to quote, transfers urgent calls on keywords you choose, and texts back callers who hang up. Every call gets a summary, transcript, and recording. It is a $29 a month add-on on the Core, Connect, and Grow plans and included in Plus.
The catch is that it is Jobber’s receptionist, not yours. The voice, the questions, and the escalation rules are Jobber’s design, and they are tuned for the average trade business. Most owners are fine with that. If you have a specific intake you need followed, you will hit the edges.
Goodcall: when volume is the problem
Goodcall bills by unique customer rather than by minute, which matters once you are past a couple hundred calls a month. The $79 Starter plan covers 100 customers and the $129 Growth plan covers 500, with every repeat call from the same customer free. It forwards from your existing number, includes a local number if you want one, and connects to other tools through Zapier, an API, or its own custom tool builder.
Booking is the weak spot. Goodcall does not name a calendar or field-service integration on its pricing page. It can be wired to one, but you or someone like us does the wiring.
Rosie: message-taking first
Rosie’s $49 Professional plan includes 250 minutes and two custom message-taking scenarios, which is plenty for an office that mainly wants calls answered and messages texted over. Calendar booking and live transfers start on the $149 Scale plan. The pricing page lets you pick an area code but does not confirm whether you can keep your current number, so ask before you sign.
Upfirst: the cheapest per-call option for a solo operator
Upfirst starts at $24.95 a month for 30 calls, or $20 billed annually, and the $159.95 Pro plan covers 300 calls. Overage runs $1.50 a call on the cheapest plan and falls to $0.70 on the largest. It forwards from any cell, landline, or VoIP number with no porting, ports for free if you prefer, and books into Google Calendar, Outlook, Calendly, Acuity, Square, and Clio out of the box, with Zapier and an API for everything else.
For a one-person shop that misses a dozen calls a month this is hard to beat. The per-call billing turns against you at volume: 300 calls on Pro is about 53 cents a call, but the next 300 are 75 cents each.
The build you own: an AI receptionist on your number, in your words
Alpenglow AI sells the build described here. The other five options are compared from their public pricing and documentation.
We build the receptionist on the number you already publish, write the intake questions with you so it asks what your dispatcher would ask, and connect it to Jobber, Housecall Pro, ServiceTitan, or whatever you already use so a booked call becomes a job without retyping. Emergencies route to the on-call phone. Everything else books into the schedule and texts the customer a confirmation. It is $1,200 to set up and $250 a month to keep running, which covers hosting, monitoring, fixes when a platform changes something, and up to an hour of changes a month. Voice minutes are billed by the voice platform at cost, usually $20 to $100 a month for a small service business. The $750 Clarity Audit is credited toward the setup.
It is the wrong choice in two cases. If you run Jobber and the stock receptionist does what you need, pay the $29. If you miss fewer than 50 calls a month, Upfirst or Sona will cost a third as much in year one and you will not notice the difference. The build is for the owner with real volume, a specific intake, and no interest in configuring software.
What each option costs over twelve months
Assumes 150 missed calls a month, which is typical for a five-person service business, and the cheapest plan that covers it.
| Option | Plan | Year one | Year two |
|---|---|---|---|
| Quo Sona plus a Quo seat | $49 plus $19, plus 100 overage calls at $0.99 | About $2,000 | About $2,000 |
| Jobber Receptionist | $29 add-on on top of a Jobber plan you already pay for | $348 | $348 |
| Goodcall Growth | $129 | $1,548 | $1,548 |
| Rosie Scale | $149 | $1,788 | $1,788 |
| Upfirst Pro | $159.95, 300 calls | $1,919 | $1,919 |
| Alpenglow AI build | $1,200 plus $250 a month, plus about $50 a month in voice minutes | About $4,800 | About $3,600 |
The build costs more in year one than every subscription. It costs less than the mid-tier subscriptions only when you count what they do not do: the intake, the CRM connection, and the person who fixes it when a platform update breaks the booking flow. If you would otherwise have paid someone to set up and connect Goodcall or Rosie, add that to their column. If you would have done it yourself and been happy, the subscription wins. The year-one cost of an AI receptionist package walks through the same math for the “$500 a month” bundles that most local agencies sell.
Which number answers, and why it matters more than the voice
Every option above except Rosie confirms it can answer on the number you already publish, by forwarding or porting. Make sure yours does. A receptionist on a new number means updating your website, Google Business Profile, truck lettering, and every directory, and the first customer who calls the old number still gets voicemail.
Forwarding is the simplest setup: your carrier sends unanswered or after-hours calls to the receptionist’s line, and customers never see a different number. Porting moves the number entirely, which is cleaner but means the receptionist’s platform now owns your line. For most businesses, forward first and port later if you stay.
AI receptionist for plumbers, HVAC, and roofing: what changes by trade
The intake is the difference. A plumbing receptionist needs to separate “water everywhere” from “slow drain” in the first ten seconds and route the first to a person. An HVAC receptionist needs no-heat and no-cool emergencies in winter and summer, and maintenance bookings the rest of the year. A roofing receptionist in Colorado hail season needs to capture the address and insurance status before anything else, because the inspection schedule fills in days.
Off-the-shelf tools handle this with keyword rules: “emergency” or “leak” triggers a transfer. That works until a caller says “there’s water coming through the ceiling” and never uses the word leak. A built receptionist is trained on how your customers actually describe the problem. We have written up the plumbing version in detail, and the HVAC and roofing pages cover the rest.
Do you need a receptionist at all, or just a text back?
Half the owners who call us about an AI receptionist end up with missed call text-back instead. It does not answer the call. It texts the caller within seconds of the missed call, with a booking link or a “reply with your address” prompt, and routes the reply to your phone. It is $750 one-time with no monthly fee beyond the Quo seat, and for a business that misses 20 to 50 calls a month it recovers most of them. We compared the missed call text back software options the same way as this post. Start there if your volume is low; come back to the receptionist when it is not.
How to choose in three questions
Do you already run Jobber? Yes: pay the $29 and stop reading. No: next question.
Do you miss more than 50 calls a month? No: Upfirst or Sona, whichever matches your phone setup. Yes: next question.
Does the receptionist need to follow your intake and write into your CRM? No: Goodcall Growth. Yes: the build.
Frequently Asked Questions
What is the best AI receptionist for a small business?
For a solo operator missing fewer than 50 calls a month, Upfirst at $24.95 or Quo’s Sona at about $49. For a business on Jobber, its $29 Receptionist add-on. For a service business with real call volume that needs its own intake and CRM booking, a build on your existing number at $1,200 plus $250 a month.
How much does an AI receptionist cost for a small business?
Subscriptions run $25 to $300 a month depending on call volume, with per-call or per-customer overage above the included amount. A custom build is $1,200 to set up and $250 a month to maintain, plus voice minutes billed at cost.
Can an AI receptionist answer on my existing phone number?
Yes, with every option in this comparison except possibly Rosie, which does not confirm it on its pricing page. Most work by forwarding your line, so customers keep calling the same number.
Can an AI receptionist book jobs into Jobber or Housecall Pro?
Jobber’s own Receptionist books into Jobber. Upfirst and Goodcall connect through Zapier or an API, which someone has to configure. A custom build writes directly into Jobber, Housecall Pro, or ServiceTitan with the address and problem attached.
Will customers hang up on an AI receptionist?
Some will, mostly when it sounds like a phone tree or cannot answer a basic question. Callers stay on when it says it is an assistant, answers the question, and books the visit in under two minutes. Emergency callers should be put through to a person every time.
Is an AI receptionist better than missed call text-back?
It is different. The receptionist answers the call; text-back recovers the lead after the call is missed. Text-back is cheaper and enough for low volume. The receptionist is for businesses where the caller needs an answer on the phone, not a text.
